Client Onboarding Portal

Task

A mining contractor in the Northern Cape needed a structured way to bring new crane operators and equipment onto their sites. Paper-based checklists were slow, often incomplete, and caused delays in deployment. The goal was to build a digital portal that standardised the entire onboarding process — from document verification to site-specific safety briefings.

Approach

We mapped the existing workflow across three mine sites and identified 14 steps that could be automated or guided. The portal was designed around a simple step-by-step flow: identity check, certification validation, equipment assignment, and site induction. Each step required a confirmation from the site supervisor before the next unlocked. We used a mobile-first layout so field staff could complete entries on a tablet or phone without a desk.

Implementation

The portal was built as a web app with a lightweight backend that synced with the contractor’s existing HR and equipment databases. We added a dashboard for the compliance officer to see pending items per site. The induction module included a short quiz on site-specific hazards. Rollout happened in two phases: a pilot at one mine, then full deployment after two weeks of feedback.

Result

Onboarding time dropped from an average of 4 hours to under 90 minutes per operator. Document errors decreased by 60% because the portal flagged missing or expired certificates before the person arrived on site. The contractor reported fewer compliance gaps during internal audits. The portal is now used across all three mines and is being considered for their other operations in Limpopo.
